Minimum Salary - 182,400.00
Maximum Salary - 228,000.00
The Role:
Global responsibility for leadership and direction for all Real Estate Portfolio, Lease Options and Administration, Corporate Real Estate Services, Corporate Interiors Design & Construction, Workplace Experience, Travel Services, Health & Safety, and Energy & Sustainability in accordance with the agreed budget/spend, Service Catalogue, Service Level Agreements (SLAs) and processes to the US, Bermuda, UK and International platforms, including:
- Planning and Portfolio Management: working with leadership to identify areas of future corporate growth and cost containment opportunities through data-based decision making and insights, both internal and considering external market conditions.
- Project Management: Undertaking and managing projects related to the Group premises, including acquisition, relocation and disposal. Accountable for leased portfolio, through effective controls monitoring, optimization, benchmarking and strategic planning aligned with Group’s organizational structures and financial cycles.
- Scenario Analysis, Strategic Guidance and Budget Management: ensuring costs, issues and risks are proactively identified and planned for, supported by insights and recommendations based on associated data/MI reporting and dashboards to leadership, committees, and boards.
- Integrated Service Delivery Model: management of all locations inclusive of the services above to ensure financial performance, capital expenditures, risk management and compliance with global and regional codes and regulations.

Key Accountabilities:
- Inputs to and translates organization vision and Divisional/Functional strategy into operational deliverables and provides tactical leadership and support to the team to achieve positive results for the department in line with strategy.
- Drives departmental performance through others facilitating effective planning, control and support mechanisms to ensure delivery of the departmental plan in line with stakeholder expectations.
- Responsible for developing and delivery of Aspen’s Corporate Real Estate Services (CRES) budget and strategy.
- Work with the Finance team to maintain a modern and agile financial architecture. Help to ensure that Group Finance has put in place all the appropriate policies, practices and systems required to optimize the use of financial resources for CRES.
- Responsible for the delivery of all hard and soft services to Aspen Group CRES Portfolio.
- Manage external Real Estate broker services, liaise with agents, landlords, architects, etc. on all matters relating to Aspen’s Group CRES Portfolio.
- Plan for future development in line with strategic business objectives. Locate and acquire appropriate space, design and build-out office on budget and within necessary timeframes.
- Use performance management techniques to monitor and demonstrate achievement of agreed service levels and lead to improvement.
- Managing the CRES staff and direct accountable for third-party outsourced managed services providers to achieve measurable year-over-year improvements in quality of service-delivery through KPIs, CPIs, Scorecards and Customer Satisfaction surveys.
- Collaborate with Group Sourcing on global and regional sourcing initiatives, negotiations of contracts, evaluating emerging technologies, energy efficient systems and sustainable solutions.
- Lead a highly leveraged global team comprised of CRES staff and third-party outsourced provider to deliver services in geographies with diverse market practices.
- Accountable for enabling and managing a workplace experience that is consistent with the Aspen Brand, with strong emphasis on collaboration and results.
- Internally partner with Brand, Marketing, Sourcing, IT and Communications colleagues to establish sustainability goals for the Group and drive strategy to achieve targets (e.g.: carbon neutrality science-based targets initiatives (SBTi), net-zero waste diversion from landfills, water consumption reductions and efficiencies).
- Calculate and compare costs for required goods and services to achieve maximum value and cost effectiveness. Coordinate vendor processes and lead relationships.
- Direct manage construction projects from conception to finished facility, interfacing with internal stakeholders and external architects and construction professionals.
- Manage building space allocation and layout/seating, communication services, facility expansion, and manage premises master inventory review.
- Responsible for all aspects of Health & Safety management.
- Communicate with tenants of commercial properties Aspen Group contacts at various office locations across the globe and plan essential central services including reception, security, maintenance, mail, file archiving, cleaning, catering, waste disposal and recycling.
- Management of new office opening process, with oversight from local site management, entity operations, including office layout, standards implementation, etc.
- Responsible for the purchase and management of the Group General Insurance policies relating to Aspen’s CRES, employers’ liability, fidelity, business travel & personal injury and business interruption
- Respond appropriately to emergencies or other urgent issues and assist in the design and implementation of the Disaster Recovery Programs and Business Continuity Programs for all global locations.
- Manage Location and Business Continuity audits (i.e. track extreme weather patterns, provide recommendations and updates for Senior Management as needed, Everbridge notifications to staff, etc.)
- Manage, resource, motivate, develop and focus on the functional management team to ensure the required standards of performance and support the continuing personal and professional development of all team members
Knowledge, Skills, & Experience:
- 10+ years managing a global corporate real estate and property management portfolio
- Professional qualifications (+ broad business qualifications) at a level of degree or equivalent qualification
- Extensive and relevant facilities and real estate strategy; managing CRES budget efficiently, risk management, creative cost effective workspace solutions
- Demonstrate a high intellect and a robust EQ with strong experience engaging with key stakeholders to solicit input and achieve consensus
- Good working knowledge of company systems and how technology can be leveraged to improve performance
- Forward-thinking strategic mindset with the ability to understand and overcome tactical challenges, inclusive of an exceptional ability to problem-solve individually or in a group setting
- Outstanding interpersonal and communication skills with a proven ability to communicate effectively and confidently at all levels across the Group
- Experience working as part of a senior team within a multi-national insurance environment is highly desirable
- Experience with capital projects and transformation
- Integrated service delivery and stakeholder (Group EXCO, Sr. Managers, EAs/Pas and external third party vendors) engagement is critical
- Experience with global business travel
- Experience with CRES business continuity and governance on the broader BCP plan
